Privacy notice
How OpsForm handles personal information when you use opsform.co.uk or contact us about a project.
1. Who we are
OpsForm is a trading name of Girgis Ramzi, a sole trader based in Brighton, England. For this website, and for OpsForm’s own customer administration, Girgis Ramzi (trading as OpsForm) is the controller.

No data protection officer has been appointed. This notice is not legal advice, and it is not a certificate of compliance.
If we build or support software that handles personal information only on a client’s instructions, the client is usually the controller and OpsForm is the processor. That is covered by the data processing terms when a proposal says they apply. This notice does not replace those terms.
2. What we collect
We collect what you choose to send us by email, and the ordinary technical information needed to run the site. The website does not collect project details through a form or an enquiry API.
To ask about a project, email hello@opsform.co.uk. Google Workspace handles that mailbox. We receive the address you write from, the message, and any attachments you choose to send. The project planner stays in your browser. It does not send those answers unless you include them in an email.
Please do not put passwords, bank details, or health information in the first message.
If we work together
We then also keep the names and work contacts of the people involved, proposals and correspondence, invoices and payment references, and the materials you send so the work can be done.
Technical information
Delivering the site creates a request log. That can include your IP address, the date and time, the page requested, a referring address, and the browser or device type. We do not run a separate analytics product, and we do not take card payments on this website. There is no newsletter signup.
3. Why we use it
We use personal information for a specific purpose, and we rely on the lawful basis that matches that purpose. We do not use consent to answer an enquiry or to perform a contract. Emailing hello@opsform.co.uk is not a signup to marketing emails, and it does not create a contract.

We do not run a mailing list. If we later send electronic marketing to business contacts, we will do so only where UK GDPR and PECR allow it, and you will be able to opt out. Marketing will not be bundled into an enquiry.
4. Who we share it with
We do not sell personal information. We share it only where we need to:
- Website hosting. The site is hosted on Render and served through Cloudflare, so those providers process the technical information needed to deliver and protect the pages. The site does not send enquiry details to an enquiry API.
- Email. hello@opsform.co.uk is a Google Workspace mailbox. Google processes messages sent to and from that address for OpsForm.
- Advisers and authorities. Accountants or legal advisers where we need them, and anyone the law requires us to tell.
A later client project may use other tools. Those are named in that project’s proposal. They are not part of this marketing site.
5. International transfers
Girgis Ramzi is based in Brighton, England. Render and Google are United States businesses, and Cloudflare serves traffic from a network that is not limited to the United Kingdom. Email sent to hello@opsform.co.uk, and the technical logs created when the site is delivered, may therefore be processed outside the UK, including in the United States.
Where a transfer needs a safeguard, UK GDPR requires protection that is not materially lower than the UK standard. We do not publish a transfer risk assessment on this page.
6. How long we keep it
We keep personal information only for as long as we need it for the purpose, including to reply, to perform a contract, to meet tax and accounting duties, to keep the site secure, and to deal with a legal claim. We then delete it or reduce it to what we still have to keep.
- Enquiries that never become a project: 24 months from the last meaningful contact.
- Contracts and project correspondence: 6 years after the engagement ends.
- Invoices and tax records: 6 years after the end of the relevant tax year.
- Host and security logs: kept for as long as the hosting provider keeps them. We do not set a separate day count for Render or Cloudflare.
There is no marketing list on this website to retain.
7. Security
The site is served over HTTPS. Access to the hello@opsform.co.uk mailbox is limited to the people who need it to reply or to run an engagement. No website or email service can promise that security will never fail. If a breach affecting you creates a risk, we will assess it and notify you and the ICO where UK GDPR requires that.
8. Your rights and complaints
Where UK GDPR applies, you can ask us to access, correct, or erase your personal information, to restrict how we use it, or to object to use based on legitimate interests. You can ask for portability where the law provides it. These rights are not absolute. For example, we may need to keep an invoice after a project has ended.
We usually have one month to respond. We may ask for enough information to be sure we are dealing with the right person. Email hello@opsform.co.uk with the subject “Data protection request”.

This website is aimed at businesses. It is not directed at children. If you believe a child has sent us personal information, email us and we will delete it unless the law requires us to keep it.
